This Payment & Refund Policy governs payments made for products, software solutions, subscriptions, technology services, implementation services, professional services, consultancy, wellness programmes and other services offered by RBIT Tech and Wellness Services Pvt. Ltd. ("ZeeroGap", "we", "us" or "our") through its website, platforms or other authorised channels.

By making a payment to ZeeroGap, the customer ("Customer", "you" or "your") agrees to the terms of this Policy, along with the applicable Service Agreement, Order Form, Proposal, Statement of Work (SOW), Subscription Plan, SLA or another contractual document, where applicable.

1. Products and Services Covered

ZeeroGap provides technology-driven and customised business solutions, which may include:

  • Software and SaaS-based solutions
  • Technology platforms and subscriptions
  • CRM, HRMS and other business-management solutions
  • Insurance technology and quotation-management solutions
  • Risk assessment and inspection technology
  • Asset valuation and related digital solutions
  • API and system integrations
  • Custom software development and configuration
  • Implementation, onboarding and training
  • Professional and consultancy services
  • Wellness programmes and technology-enabled services
  • Other products or services communicated to the Customer from time to time

The applicable commercial terms, pricing, scope and payment schedule may vary depending on the product or service selected.

2. Pricing and Taxes

All prices displayed or communicated by ZeeroGap will be in Indian Rupees (INR) unless otherwise specified.

Applicable taxes, including GST, shall be charged in accordance with applicable law and will be reflected in the invoice or payment confirmation, as applicable.

For customised or enterprise engagements, pricing, taxes, payment milestones and other commercial terms will be specified in the applicable proposal, quotation, Order Form, SOW or agreement.

3. Payment Methods

ZeeroGap may accept payments through authorised payment gateways and other payment methods made available to the Customer. The available payment options may include, where enabled:

  • UPI
  • Credit Cards
  • Debit Cards
  • Net Banking
  • Digital Wallets
  • Other payment methods supported by the authorised payment gateway

Payment gateway availability may vary depending on the transaction and the payment service provider. All transactions are processed in Indian Rupees (INR).

4. Payment Processing

  • For online payments, the Customer may be redirected to an authorised third-party payment gateway for completing the transaction.
  • ZeeroGap does not store complete credit/debit card details, banking credentials, UPI PINs or other sensitive payment credentials on its own systems unless expressly stated and legally permitted.
  • Payment processing is subject to the terms, security measures and policies of the relevant payment service provider.
  • A transaction will be considered successfully completed only after confirmation is received from the relevant payment gateway or financial institution.

5. Subscription and Recurring Payments

Where a product or service is offered on a subscription basis, the Customer will be charged according to the billing frequency and payment terms selected at the time of purchase or specified in the applicable agreement. Subscriptions may be:

  • Monthly
  • Quarterly
  • Annual
  • Based on another billing cycle agreed with the Customer

Where recurring payments are enabled, the Customer authorises the applicable payment service provider to process subsequent payments in accordance with the agreed subscription terms.

ZeeroGap may suspend or restrict access to a subscription-based service if a scheduled payment is unsuccessful or remains unpaid beyond the applicable payment due date.

6. Enterprise and Custom Engagements

For enterprise solutions, custom software, integrations, implementation projects, professional services or other customised engagements, payment terms will be governed primarily by the applicable:

  • Service Agreement
  • Master Service Agreement (MSA)
  • Statement of Work (SOW)
  • Purchase Order (PO)
  • Order Form
  • Proposal/Quotation
  • SLA or other written agreement

Such agreements may specify advance payments, milestone-based payments, recurring fees, implementation fees, licence fees, maintenance fees or other commercial arrangements.

In case of any inconsistency between this Policy and a signed agreement, the terms of the signed agreement will prevail to the extent of that inconsistency.

7. Payment Failure or Transaction Error

If a payment fails but the amount has been debited from the Customer's account, the Customer should first verify the transaction status with the relevant bank or payment gateway.

Where the payment gateway or bank confirms that the transaction was unsuccessful, any reversal or refund will generally be processed through the original payment channel in accordance with the applicable banking/payment gateway timelines.

If the amount remains debited and is not reversed within the applicable timeline, the Customer may contact ZeeroGap with:

  • Name
  • Registered email address
  • Transaction/reference ID
  • Date and amount of transaction
  • Relevant payment confirmation or supporting document

ZeeroGap will reasonably assist in coordinating the resolution of the payment issue.

8. Duplicate Payments

If a Customer has been charged more than once for the same transaction due to a technical or payment-processing error, the Customer should notify ZeeroGap with the relevant transaction details.

After verification, any eligible duplicate payment will be refunded through the original payment method, subject to applicable payment gateway and banking timelines.

9. Refunds

Refunds are not automatic and will be processed only where the Customer is eligible under the applicable Refund & Cancellation Policy, Service Agreement, Order Form, SOW or other applicable commercial terms.

The eligibility for a refund may depend on factors including:

  • Type of product or service purchased
  • Whether the service has been activated
  • Whether implementation or onboarding has commenced
  • Extent of service usage
  • Whether any deliverables have been provided
  • Whether the service is customised
  • Applicable subscription terms
  • Cancellation date
  • Specific contractual terms agreed with the Customer

10. Refund Processing

  • Where a refund is approved, ZeeroGap will initiate the refund through the original payment method wherever reasonably possible.
  • The time taken for the refunded amount to appear in the Customer's account may depend on the payment gateway, bank or financial institution.
  • Unless otherwise specified in an applicable agreement, ZeeroGap will generally initiate an approved refund within 10 business days from the date of approval.
  • Any applicable payment gateway charges, transaction charges, taxes or other non-refundable third-party charges may be deducted where permitted by applicable law and the applicable commercial terms.

11. Non-Refundable Charges

Unless otherwise agreed in writing, the following may be non-refundable once incurred:

  • Fees for services already delivered
  • Completed implementation or onboarding services
  • Custom development or configuration work already performed
  • Professional or consultancy services already rendered
  • Training sessions already conducted
  • Third-party charges incurred specifically for the Customer
  • Fees relating to activated add-on services
  • Usage-based charges already incurred
  • Other amounts expressly identified as non-refundable in the applicable agreement or Order Form

12. Refunds for Taxes

Where a refund is approved for a transaction on which applicable taxes have been charged, the tax component will be handled in accordance with applicable tax laws and invoicing requirements.

13. Payment Disputes

  • Customers should contact ZeeroGap promptly if they believe there is an error in a payment, invoice or charge.
  • Customers should not initiate an unauthorised chargeback without first providing ZeeroGap an opportunity to investigate and resolve the issue, except where otherwise required or permitted by applicable law.
  • Unauthorised or fraudulent transactions may be investigated and appropriate action may be taken.

14. Changes to Pricing or Payment Terms

ZeeroGap may revise its pricing, subscription plans, payment methods or commercial terms from time to time.

For existing subscriptions or contractual engagements, any changes will be communicated and implemented in accordance with the applicable subscription or contractual terms.
